Executive Assistant

Full-Time

The mission of Beach House, Inc. dba Leading Families Home is helping families achieve independence and economic stability by providing life-changing resources, including mental wellness, education, employment services, and safe, affordable, sustainable housing. Beach House Inc., dba Leading Families Home is a 501(c)3 charity serving the Toledo area community for over 100 years. Leading Families Home serves over 1,000 individuals annually, including children. Our environment is challenging, yet collaborative. The Grant Support Specialist will collaborate with like-minded individuals internally and externally dedicated to making a positive impact in our Participant’s lives and within our community.

Job Summary

As an executive assistant, you will contribute directly to this cause by working alongside our Executive Director and at times the executive staff to facilitate communication and execute planning. We are looking for an individual who takes initiative to expedite the details, thus enabling our company’s leaders to contribute their best performance to achieve organizational directives. Job Responsibilities

  • Formulate and/or classify various types of materials, financial documents, and business plans to have them readily available for important executive meetings.
  • Act as a liaison between staff members and executive leaders to ensure important information is relayed, escalated issues are flagged and resolved, and mediocre matters are solved by appropriate parties.
  • Keep an organized schedule of events, meetings, travel itineraries, conference calls, and other communications to confidently debrief executives on such plans.
  • Always maintain a professional and candid demeanor to ensure you are behaving in a manner that is in alignment with executive image and company reputation and brand.
  • Participate in standard advisory duties such as sending emails and other electronic correspondences, faxing, copying, scheduling, and running errands.
  • Write, draft, and edit important data such as documents, reports, proof letters, and memos.
  • Document and finalize timecards on a regular basis and have them sent to the Finance department on time.

Required Job Skills & Qualifications

Minimum of Associates Degree or 2 years proven experience as an executive/administrative assistant or related position

  • Schedule Flexibility – The position will be primarily remote, but will require some in-office and community responsibilities
  • Superior writing and communication skills
  • Excellent Time management skills
  • Strong organizational skills
  • Extraordinary people skills
  • Working knowledge of Microsoft Office and common scheduling software such as Outlook

  • Knowledge of the principles of Health Insurance Portability and Accountability Act of 1996 (HIPAA); Privacy and Security Rules and other Federal and State laws regarding confidentiality and storage of health information.
  • Actively look for ways to assist people.
  • Adjust actions in relation to other’s actions.
  • Effective time management; assess and prioritize tasks and work within deadlines to complete tasks.
  • Repetitive finger movements for entering data into computer.

 Requirements

  • Must have valid Driver’s license, acceptable driving record, and deemed insurable.
  • Ability to read and implement grant agreements and regulations
  • Ability to communicate clearly and professionally (orally and in writing) with team members and funders
  • Must be able to manage one’s time and prioritize tasks despite competing demands
  • Proficient advanced excel skills, and strong knowledge of the Microsoft Office suite
